Welcome
to the MAQS site
MAQS is a document control program, intended to simplify
compliance with HFA and other contracts with specific performance
requirements. It can be used in both retail and hospital
environments.
MAQS was developed to produce the necessary paperwork to satisfy
audit requirements in the smallest amount of time, with minimal
input required by busy pharmacists. It streamlines the documentation
process, by automatically producing and printing each day a "to do"
list, so staff complete the required tasks, sign and file it.
Documents can be assigned individual review times, so you are
automatically notified of reviews that are due to be done. This
takes the pressure off when the audit letter arrives, as the system
makes you review procedures on a regular basis.
MAQS will also have applications to assist in the day to day
running of your pharmacy- as it controls the following :
- Policies and Procedures
- Job Descriptions
- Staff Training
- Daily Task Recording
- Document Review processes
How To Survive an Audit
Without Losing Sleep
When the Audit
letter arrives from the Ministry of Health, informing you that they
will be conducting an audit of your pharmacy, most pharmacists
experience feelings of frustration, anxiety and panic.
If we are
realistic, most pharmacies leave their Quality in Pharmacy paperwork
until such a time, because to produce the necessary paperwork is
time consuming and time is a commodity most pharmacists have little
of.
There are three
methods most people use to complete their Quality Documentation :
I. Photocopy templates and fill out by
hand .
II. Print out individual templates stored in a word processor
program to complete.
III.Have the templates printed out automatically for them - a to do
list produced each day, as well as reminders of what S.O.P's
are due
How much time does the
documentation process take in your pharmacy?
You may be
interested in an automated document control program called MAQS. It
was designed by Jeff Ross of Stobo's Pharmacy in Oamaru, and Stobo's
have found a dramatic reduction in the time taken to fulfill their
documentation process.
What is more, the program is now
in use country-wide, and every pharmacy using the program has had a
90% pass rate in their quality audits run by the Ministry of
Health.
Once opened the program creates and prints
automatically a daily to do list,
which has data entry fields for manual tasks and an area to sign
once done - ( for things like cleaning bench tops, floors, checking
fridge temperatures) .
Features of the
MAQS programme:
- creates and prints automatically a daily to do
list, which has data entry fields for manual tasks and an
area to sign once done - ( for things like cleaning bench
tops, floors, checking fridge temperatures) .
- Allows you to
specify how often you want to review a SOP and then at the
specified period, notifies you that a review is due for that
document.
- MAQS allows you to
enter ( and review at a period of time you specify ), job
descriptions, policies and procedures, staff training, daily
task recording and document review processes.
- significantly
reduces the time taken to produce and record documentation.
